Connect any other mailbox (Yahoo, iCloud, AOL, Fastmail, your own host)
Step by step guide to connecting a mailbox that is not Google or Microsoft, using IMAP and SMTP with an app password.
If your email is not Gmail or Outlook, you can still connect it. AgentiCRM speaks IMAP and SMTP directly, so Yahoo, iCloud, AOL, Fastmail and almost any mailbox from a web host or IT team will work.
Once connected, your inbox flows into Conversations and Mail, and you can send from that address in the composer, in scheduled sends and in campaigns.
Before you start You need two things.
1. Your full email address, for example you@yourdomain.com.
2. An app password, not your normal login password. Most providers now block ordinary passwords for mail apps. See the provider notes below.
Step 1. Open the settings Go to Settings, then My profile, then find the card called Other mailboxes and press Connect a mailbox.
Step 2. Pick your provider Choose Yahoo Mail, iCloud Mail, AOL Mail or Fastmail and the server names fill in for you. Choose Other host if your mail is with a web host or your own company server, then type in the incoming (IMAP) and outgoing (SMTP) server names your host gave you.
Typical settings for a custom host look like this.
- Incoming, IMAP: imap.yourdomain.com, port 993, SSL
- Outgoing, SMTP: smtp.yourdomain.com, port 465, SSL
Step 3. Enter your details - Email address: the full address. - From name: how you want your name to appear to recipients. - Password: the app password from Step 4 below. - Username: only fill this in if your host uses a login that is different from your email address.
Step 4. Create the app password - Yahoo: Account Security, then Generate app password. - iCloud: appleid.apple.com, Sign in and Security, then App Specific Passwords. - AOL: Account Security, then Generate app password. - Fastmail: Settings, Privacy and Security, then New app password with Mail access. - Your own host or company server: usually your normal mailbox password works. If your IT team has two factor on the mailbox, ask them for an app password.
Copy the password exactly, including any spaces the provider shows, and paste it straight into the dialog.
Step 5. Save and let it test When you press Connect, we sign in to both servers before saving anything. If either sign in fails you get the exact reason back, so you can correct the server name, port or password and try again. Nothing is stored until both checks pass.
What happens next - Your inbox starts syncing into Conversations and Mail within a few minutes. - The address appears in the From picker in the composer. - Replies keep the original thread intact. - Sent mail from other devices also gets pulled in, so the history stays complete.
Common problems - Authentication failed: you used your normal password. Create an app password and try again. - Connection timed out: the server name is wrong, or the port is not 993 for IMAP or 465 for SMTP. Check with your host. - It connects but nothing appears: give it a few minutes for the first pull, then reload Conversations. - Sending is rejected: some hosts require the From address to match the mailbox exactly. Use the same address you connected.
A note on deliverability Free mailboxes such as Yahoo and iCloud are fine for one to one email. For campaigns and drips, use a verified sending domain of your own so your mail lands reliably and carries your branding.
Removing a mailbox Press Disconnect on the mailbox card. Credentials are deleted and synced messages are cleared out.
